Patient Services Team Lead

The Patient Services Team Lead is responsible for overseeing the Medical and Dental front desk administrative functions to ensure effective and efficient operations at all CHDC sites. Achieve SMART goals assigned.

    • Supervises the Patient Services Front Desk Staff, Verification Team and Medical Records
    • Oversees the duties of the Patient Services Reception area to ensure patient flow stays on a timely schedule.
    • Maintain scheduling templates for up to date appointments, conflicts and accuracy.
    • Ensure that Front Desk staff provides efficient courteous service by:
    • Greeting patients and visitors, patient intake and input of all required registration information, scheduling appointments.
    • Patient’s information is verified and updated at each visit (address, phone, insurance, etc.)
    • Intake of insurance information and verification
    • Support billing department by documenting correct billing information at the point of service (including eligibility verification, updating insurance information, and appointment tracking)
    • Patient’s co-payments and payments are collected from patients at the point of service.
    • Balancing of cash drawers daily.
    • Appointments are set according to scheduling protocol.
    • All assigned duties are performed in a manner consistent with maintaining a safe and respectful patient care environment.
    • A liaison between management and the staff with personal issues/concerns, and with patient issues or concerns.
    • Orient new personnel to the Patient Services Team
    • Maintains front desk employee schedules, arranging for coverage as needed
    • Oversee and/or perform prior-authorization process including streamlining and documentation of procedure for manual.
    • Maintaining control over inventory, overseeing or performing ordering process as well.
    • Oversees maintenance needs of their areas including equipment. Documentation of current procedures and protocols for the office manual
    • Ensures financial arrangements are being followed and updates processes as needed.
    • Attends and maintains minutes of staff team meetings.
    • Assist with policy/procedure development that pertains to the department.
    • Implement and adhere to the policies of the organization, as well as those of funding sources and third -party payers.
    • Responsible for assigned SMART goals
    • Approve bi-weekly department payroll time sheets.
    • Other related duties as assigned

    • Demonstrates a strong attention to detail.
  • High school diploma.
  • 2 year degree in Office Administration preferred.



  • Minimum of three years in dental or medical practice management required.
Compliance Provision
    • Highly organized, strong interpersonal skills with strong verbal and written communication skills.
    • Ability to develop and follow protocols within a health care setting.
    • Experience with practice management software and/or strong computer skills.
    • Supervisory experience.
    • Ability to work with a diverse population and sensitivity to low-income populations.

    Bilingual/bicultural preferred.
